Printer Offline or Not Printing? What to Check First

Try safe checks for a printer that is offline, stuck in a queue or working from one device but not another. Know which faults need physical repair.

    1. Look at the printer before changing the computer

Check the display for paper, ink, cover or connection messages. Follow the manufacturer’s instructions for physical checks and do not reach into moving parts. If it cannot perform a built-in test or copy when that function is available, computer settings may not be the cause.

    2. Check the connection and selected printer

A wireless printer and computer usually need to be on the appropriate same network. Guest WiFi or a changed router can affect discovery. Check that your document is going to the intended printer rather than an old duplicate entry or a PDF destination.

    3. Inspect the queue

In Windows, open the printer under Settings > Bluetooth & devices > Printers & scanners and inspect its queue. Record errors and cancel only your own unwanted jobs. On an office print server, ask the administrator before clearing shared jobs or changing the printer configuration.

The Windows printer troubleshooter in Get Help can investigate common software problems. Install software only from the manufacturer or a trusted operating-system source; do not buy a generic driver updater because an advertisement says the printer is broken.

    4. Test with a simple document

Try a single-page test from another application. If that works, a particular document or program may be the issue. Note the model, connection type, exact error and which devices still print. These details make a support session more focused than repeatedly reinstalling everything.

Remote help can investigate drivers, queues, scanning software and network configuration when the printer works mechanically. Paper jams, damaged parts and ink-system faults may need onsite attention. Ask about remote suitability before paying if you are unsure.
