Outlook Not Receiving Emails? A Business-Friendly Checklist

Find out whether missing messages are an Outlook app, mailbox, storage or wider Microsoft 365 problem before deleting accounts.

    1. Describe the missing-message pattern

    • All new mail is missing, or messages from one particular sender?
    • Sending works but receiving does not, or neither works?
    • One computer is affected, or the whole team?
    • The message appears on a phone, in webmail or in a different folder?

Use a harmless test message from a known account and record when it was sent. Do not share real client correspondence in a public support enquiry.

    2. Check visible mailbox conditions

Review search results, Junk, deleted items and any filtered inbox view. Check for full-storage warnings and whether a mailbox rule may move messages. For a work mailbox, ask the administrator about service health, quarantine and organisation-level rules rather than assuming personal Outlook.com instructions apply to Microsoft 365.

    3. If webmail works but the desktop app does not

Record whether you use new Outlook, classic Outlook or another app. Check connection or sign-in messages, reopen the app and test again. Recent password, MFA or licence changes are useful clues. Do not delete an account or profile until you have checked local archives, contacts, calendars and backups.

    4. If every staff member is affected

Treat it as a business issue. Ask the authorised administrator or provider to investigate service status and recent configuration changes. DNS and mail-delivery changes can have wider effects; do not edit them based on a generic article while messages are already disrupted.

What to send with a support request

Include the app version, domain provider if known, number of affected people and whether webmail receives the test. We can investigate app and mailbox configuration within your authorised access. Account recovery, provider outages and organisation-wide mail flow may need your administrator or email host. Never send passwords or MFA codes.
